Setup guide

Business email setup

Add your business email to your phone and computer in a few minutes. Pick your device and follow the illustrated steps in order.

Before you start

Business email is an address on your own domain, such as info@yourcompany.com. Set up with IMAP, your phone, computer and webmail all show the same mailbox in sync.

This guide helps you add your business email account to your phone and computer. Choose your device and follow the steps in order — each step shows what the screen will look like. On most devices setup takes just a few minutes.

Four platforms, step by step

Illustrated instructions for Android (Gmail), iPhone/iPad (Mail), Windows (Outlook) and Mac (Mail).

In sync with IMAP

Phone, computer and webmail see the same mailbox; read, deleted and sent messages match everywhere.

Encrypted connection

Incoming mail uses port 993 (IMAP) or 995 (POP3), outgoing mail port 465 (SSL/TLS) or 587 (STARTTLS).

Fixes for common problems

A checklist for password errors, sending problems, spam, sync and full mailboxes.

Have your details ready

  1. Your email address

The full address, e.g. info@yourdomain.com. This is also your username.

  3. Server names

Incoming and outgoing server: mail.yourdomain.com. Webmail: webmail.yourdomain.com.

Used on this page only and never sent anywhere.

Troubleshooting

Common problems and fixes

The most common setup issues and what to check.

Still stuck?

Send us a screenshot on WhatsApp or open a support ticket in the client portal — we’ll check your settings together.

Message us on WhatsAppOpen a support ticket
I get a password error — what should I do?

Enter your full email address (info@yourdomain.com) as the username, not just “info”. Passwords are case-sensitive; when copying and pasting, watch out for leading or trailing spaces. Try your password at webmail.yourdomain.com first: if you can’t sign in there either, set a new password under My Emails in the client portal or contact us.

I can receive email but can’t send

Make sure authentication is enabled in the outgoing server (SMTP) settings (“Require sign-in” / “My outgoing server requires authentication”); username and password are the same as for incoming mail. If port 465 with SSL/TLS doesn’t work, try 587 with STARTTLS. Don’t use port 25 — many internet providers block it.

My emails land in the recipient’s spam folder

Ask the recipient to mark your message as “Not spam” once. Bulk mailings, messages that contain only a link or an image, and very large attachments raise the spam score. Correct SPF, DKIM and DMARC records for your domain matter too; if you’re not sure, contact us and we’ll check them together.

Emails I read on my phone still show as unread on my computer

Make sure the account is set up as IMAP; POP3 downloads messages to a single device and doesn’t sync them. On your phone, check the sync frequency and that battery saver isn’t restricting the email app. If sent messages don’t appear on other devices, choose the server’s “Sent” folder as the sent folder in the app’s folder settings.

My mailbox is full and email isn’t arriving

When the quota is full, new messages bounce back to the sender. Delete old messages with large attachments and empty the Trash; with IMAP, a deleted message is removed from all your devices. You can move messages you want to keep to a local folder on your computer. You can see your mailbox quota under My Emails in the client portal; contact us to increase it.

I see a certificate (security) warning

Make sure you entered the server name as mail.yourdomain.com with your own domain. If the warning persists, send us a screenshot before accepting it; we’ll check the server certificate and tell you which server name to use. Don’t permanently accept a certificate you don’t recognise.

Should I choose IMAP or POP3?

IMAP is recommended: messages stay on the server and your phone, computer and webmail show the same mailbox in sync. POP3 downloads messages to a single device; choose it only if you work from one computer and want to keep your messages there.

How can I read my email without setting anything up?

Go to webmail.yourdomain.com in any browser. The username is your full email address and the password is your email password. Under My Emails in the client portal, each account also has a webmail link.
